Data processed and provision of data
The form requests your name or company name, email address and message; the attachment is optional. If you email us, we also process any other contact details, content and attachments you choose to send. Please provide only information relevant to your enquiry, avoiding unnecessary sensitive or confidential information. Contacting us is voluntary, but we cannot handle your enquiry without the necessary information. While you browse, technical systems may process your IP address, browser and device data, requested resources, date and time, and diagnostic information.
Purposes and legal bases
We use the data to respond, prepare quotations, arrange appointments and handle the pre-contractual activities you request: Article 6(1)(b) GDPR. For professional correspondence with company representatives and general enquiries, the legal basis is our legitimate interest in managing relationships and responding, under Article 6(1)(f). Website operation and the prevention of spam, fraud and abuse are based on our legitimate interest in security. Compliance with legal obligations is based on Article 6(1)(c). The form does not subscribe you to a newsletter or constitute consent to advertising communications.
Platform, security and recipients
The website uses Aruba SuperSite. Data may be processed by people responsible for handling enquiries and by providers of platform, hosting, email, IT support and security services, to the extent necessary for their services. Data may be disclosed to advisers and authorities where required by law or to protect rights. The form integrates Google reCAPTCHA to distinguish human use from automated submissions: the service analyses technical data and interaction signals to prevent spam and abuse. According to current Google documentation, Google processes service data as a processor under the Google Cloud terms and the relevant data processing agreement. Data received through the form is not intended for public disclosure.
External services and transfers
The link on the premises address opens Google Maps; the map is not embedded in the page. Following the link takes you to an external service governed by its own privacy notice. Technology providers may also process data outside the European Economic Area. For reCAPTCHA, the Google Cloud terms govern transfers and the relevant safeguards, including standard contractual clauses where applicable. You can request information on recipients and safeguards for your data by writing to info@kairox.eu.
Retention criteria
No single retention period is set for enquiries that do not lead to a contractual relationship. Retention depends on the time needed to respond and complete any follow-up, the continuation of negotiations and the need to document correspondence in the event of specific disputes. Data that is no longer necessary must be deleted or anonymised, subject to legal obligations or documented needs to protect rights. If a contractual relationship arises, the documents are also subject to the relevant administrative, accounting and tax obligations. Retention of technical data, logs and backups depends on security and recovery purposes and the cycles of the services used. Sending an enquiry alone does not result in indefinite retention.
Rights and complaints
In the circumstances and within the limits set out in Articles 15–22 GDPR, you may request access, rectification, erasure, restriction and portability of your data, and object to processing based on legitimate interests. You may withdraw any consent without affecting the lawfulness of earlier processing. Write to info@kairox.eu. You have the right to lodge a complaint with the Italian Data Protection Authority (Garante per la protezione dei dati personali) or the competent supervisory authority. Kairox does not use enquiry data for solely automated decisions producing legal or similarly significant effects.
Cookies and updates
Kairox has not configured Google Analytics, Meta Pixel, newsletters or advertising tools. For storage technologies and preference management, see the Cookie policy. This notice is updated when the processing described changes.
